We have deployed new system enhancements and bug fixes to the Hockey Canada Registry (HCR). Below is a detailed breakdown of what has changed and how these updates impact your workflows.
Key Improvements
1. Registration Cart Flexibility (“Other Items”)
Previously, adding secondary merchandise or administrative items (“Other Items”) to a cart during a regular registration could trigger organization validation blocks, sometimes stopping automatic player movements (Open Player Movement).
- The Fix: The system now validates “Other Items” specifically per member. Members can purchase extra items alongside their registrations without experiencing checkout blocks.
2. Communication Control: Primary Email Only
To give organizations better control over their distribution lists, we have added a “Send only to primary email” feature.
- Where it is: This checkbox is now available across all communication modules on the platform.
- How it works: When checked, the platform bypasses secondary email addresses on the member profile and delivers the message strictly to the primary contact.
3. Enhanced SportsPay Reporting Data
We have improved the integration with SportsPay during transactions to simplify financial reconciliation.
- Direct Reconciliation: The system now passes extra metadata fields directly to the payment gateway during checkout:
- INV: Invoice number
- DESC: Short description of the transaction
- PLAYER: Participant names and details
- PROGRAM: Program or division details
- The Benefit: You can now run sales reports directly inside SportsPay to break down revenue by program, participant, or specific taxes (GST/QST), eliminating the need to manually cross-reference external HCR reports.
4. Waiting List Access & Information
- Store Link: Administrators can now access the store link directly from the waiting list screen.
- Demographics: Participant gender identity is now visible directly on the waiting list view for better administrative tracking.
5. Assist Fund Application Improvements

New Assist Fund Purchases Section: A new Assist Fund section has been added to the Purchases area in My Account, making it easier for parents/guardians to review applications, transaction information, member details, requested amounts, approved amounts, and incomplete application indicators from one place.

Invoice Warning for Assist Fund Registrations: The system now displays a warning when an invoice is linked to an Assist Fund registration. This helps administrators understand when cancelling or adjusting an item may affect an associated funding request.

Incomplete Application To Do in My Account: When an Assist Fund application is marked incomplete, the applicant now receives a My Account To Do with the administrator note and a direct path to provide the missing information and resubmit the request.

Insufficient Funds Notification Reason: A new reason and notification type have been added for funding programs where available funds are insufficient. This ensures the appropriate notification can be sent based on the selected funding-status reason.
Bug Fixes and Technical Adjustments
- Transfers Screen: Resolved an issue where clicking the Action Required button on the Transfers page failed to trigger the appropriate modal/action.
- SportsPay Clinic Reporting: Fixed an “undefined index” error that broke SportsPay reporting for clinics. The system has been updated to handle clinic configurations that do not require registration fees.
- Transfer Data Loading: Fixed a backend error where the system occasionally failed to load complete transfer details when multiple organizations were involved. This data now loads quickly and completely every time.
- Organization Logo Upload Fix: Fixed an issue where some organization logos changed colour after upload. Image processing has been adjusted so logos retain their original colours and visual integrity when uploaded to Spordle ID.
- Roster Age Validation Fix: Fixed an issue where the system could use the wrong period when checking player availability by team. Age validation now uses the correct period so only eligible players appear for the selected category.
