TRAINING DOCUMENT

DEFINITIONS

The definitions used in the Data Hub MHA Results Comparison Report are essential for ensuring clarity, consistency, and accuracy in measuring and understanding participation across all levels of hockey. They provide a standardized framework for tracking key metrics—such as retention, growth, diversity, and registration—enabling associations, administrators, and stakeholders to make informed decisions, monitor trends over time, and identify opportunities for improvement. By clearly defining terms like “Rostered Player Participant” and “BIPOC Participant Rate,” the Data Hub MHA Results Comparison Report ensures a shared language for data analysis, supporting strategic efforts to grow and strengthen the game.

The definitions used in your dashboards—also available in the Data Hub MHA Results Comparison Report —are as follows:

Rostered Player Participant - The unique number of participants that occupied a Player position on a roster at some point in the season. The participant’s primary team record in the HCR is used.

All rostered participants that have been released in the HCR in the current season, at any time, will be included in the analysis of data. Any rostered participant that has been deleted (due to error, not participating, etc.) will not be included in the analysis of data.

Year-Over-Year (YoY) Retention Rate - YoY Retention Rate is calculated using the number of rostered participants from the current season who are rostered in the following season, divided by the total number of rostered participants in the current season.

New Participant Rate - Calculated using New Rostered Participants in the current season, divided by total Rostered Participants.

BIPOC Participant Rate - Rostered Participants who identify as Black, Chinese, Filipino, Indigenous, Japanese, Korean, Latin American, South Asian, Southeast Asian, West African, North African, or Arab, divided by total Rostered Participants.

Registered Player Participant - Defined as an individual that has registered to participate as a player in the current season. Purchasing a registration package is considered a registration.

If an individual has more than one registration in the same season, their first recorded registration is used.

DASHBOARDS

The Data Hub MHA Results Comparison Report provide a comprehensive and accessible view of key participation metrics across your membership. Each dashboard is designed to offer insights into different aspects of the game—such as registration trends, retention rates, diversity, and team composition—using data sourced directly from the Hockey Canada Registry.

These dashboards are essential tools for understanding the health and progress of the game. They bring clarity to how hockey is growing, where participants are coming from, how many are returning year-over-year, and how inclusive programs are becoming. By transforming raw data into visual, actionable insights, the dashboards empower associations to move from guesswork to informed decision-making.

Relevance for Minor Hockey Associations (MHAs)

For MHAs, the dashboards are particularly valuable because they:

  • Support planning and strategy by highlighting trends in registration, team formation, and retention.
  • Identify opportunities for growth through data on new participants and comparative performance.
  • Help measure impact of recruitment, retention, and diversity efforts using real-time metrics.
  • Enable benchmarking by comparing their performance to other associations or to provincial and national averages.
  • Facilitate reporting to boards, volunteers, and stakeholders with clear, visual summaries.

In short, the dashboards provide MHAs with the insights they need to make informed, data-driven decisions that strengthen participation, improve experiences for players and families, and contribute to the overall development of the game.
