We are pleased to share several enhancements and fixes that have been released in the Hockey Canada Registry. This release includes improvements to clinic registration, injury reporting, event administration, classification changes, SportsPay transactions and general system reliability.
Clinic Registration and Qualification Improvements
Prevention of Unnecessary Repeat Registrations
Organizations can now control whether members may register more than once for a clinic associated with the same qualification. When multiple registrations are not permitted, the system checks whether the member already holds a valid, unexpired qualification. If they do, the registration is blocked before the clinic can be added to the cart or payment can be completed.
The setting applies to new registrations and does not affect registrations completed before this release.
Clearer Messages for Members with a Blocked Status
The clinic registration process now provides a specific validation message when a member cannot register because of their current member status.
Previously, blocked members could be excluded from the eligibility results without a clear explanation, which could cause an error during registration. Users will now be informed of the reason the registration cannot proceed.
Improved Clinic Date and Time Display
Clinic information now includes the applicable time zone identifier. This improves the accuracy of session dates and times displayed when clinic pages initially load.
Transfer Age Validation
Age validation during transfer requests has been updated to use the appropriate season reference date rather than the current date.
This resolves situations where an eligible player could incorrectly receive an underage message even though they met the age requirements for the applicable season and roster category.
SportsPay and Tournament Billing Improvements
SportsPay Merchant Accounts for Competitions
SportsPay merchant accounts can now be selected when creating or editing tournament competitions, including unapproved competitions.
When SportsPay is selected:
- Fee distribution options are disabled because fee distribution is managed directly through SportsPay.
- Payment links are generated and sent by email.
- Users are directed to the secure SportsPay payment page.
- Invoice statuses are updated following payment.
- Resending payment links, invoices and receipts is supported.
- Cancellation and refund workflows are supported.
Improved Invoice and Payment Handling
Several improvements have been made to the B2B invoice workflow:
- Cancelled invoices can no longer be paid using a previously issued payment link.
- Users are returned to the correct invoice page after a payment attempt.
- Clearer messages are displayed for successful payments, paid invoices, expired links and payment errors.
- Invoice links include the appropriate client information to improve redirection.
- Payment and cancellation statuses are synchronized more reliably between SportsPay and HCR.
Tournament Service Fee Label
The generic Fee label has been updated to Service fee in English and Frais de service in French to provide greater clarity during tournament billing.
Privacy and Security Improvements
Protection of Personal Information
Additional safeguards have been introduced to prevent personal information from being exposed through unauthenticated API requests.
For users who are not signed in, sensitive information such as email addresses, gender, background-check status and dates of birth is masked when applicable.
Background Check Authentication
Requests between My Account and the criminal record check service now include the required access token, improving the security and reliability of background-check communications.
Additional Fixes and Usability Improvements
This release also includes the following corrections:
- Shared organization document access: Resolved an issue where administrators in shared organizations received a restricted access (403) error when attempting to view member attachments belonging to the primary organization. Authorized users can now properly access documents such as birth certificates and proof of residence across linked organizations.
- Manual registrations: Resolved an issue that could cause manual registrations to fail when the questionnaire or forms section was skipped. The registration process now completes successfully even when forms are not required.
- Team rollover: Resolved a system crash associated with rendering fields in the Game Incident form.
- Game incidents: Corrected repeated loading of division, category and position information.
- Travel permits: Restored the ability to select players and coaches using checkboxes when editing a travel permit lineup. Fixed an issue where coaches who had been released from a team continued to appear on Travel Permits. Only active team staff and contacts will now be included on generated permits.
- Questionnaires: Selecting a question type no longer causes an unintended update request or page refresh.
- Member profiles: Corrected an error that could prevent users from moving between pages in team and qualification tables.
- General stability: The underlying application framework and supporting components have been updated to improve compatibility, performance and long-term system stability.
Thank you to everyone who continues to submit feedback and support requests. Your input helps identify improvements and make HCR more reliable and easier to use.
